    Altia Capital is committed to protecting your personal information, being transparent about the information it holds about you, and complying with the legal provisions set out in Quebec and Canadian laws.

    The purpose of this policy is to clearly explain how we collect and process your personal information.

    The data we collect helps us better carry out our day-to-day mission. Your personal information will not be used without your consent or for purposes other than those for which it was collected, except in accordance with applicable laws.

  • Consent

    Altia Capital is committed to obtaining your express, free and informed consent in connection with the collection, use and retention of your personal information.

  • Personal information

    Personal information means any information about an individual from which that person can be identified. It does not include data where identifying details have been removed, that is, anonymous data. We may collect, use, store and transfer different types of personal information about you, which we have grouped as follows:

    • Identity data includes first name, last name, title, customer number, date of birth and gender;
    • Contact data includes address, billing address for a transaction, email address, organization, position held, telephone number(s), and emergency contacts;
    • Sociodemographic data includes household type, main source of income, income, type of housing, reason for using the services, ethnic origin, citizenship, family members, language spoken, health information (specific diet, disability), and education level;
    • Payment and purchase data includes payment card details (credit or debit). Donation data includes details of donations made by and for you and other details about donations and services you have made or received from us;
    • Marketing and communication data includes your preferences for receiving marketing communications from us and from our third parties, as well as your communication preferences. This also includes the fact that we may keep records of conversations we have had with you in person and/or communications you have sent to Altia Capital. This helps us manage our relationship with you and ensure that you only receive communications that are relevant and tailored to your preferences;
    • Technical data includes the Internet Protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, the operating system and platform, and other technologies on the devices you use to access our website or our social media;
    • Usage data includes information about how you use our websites and our services;
    • Data relating to candidates for employment and internship includes any data you have submitted to us through an application for employment or an internship with Altia Capital.
    • Any other personal information that we have not requested (such as personal information you voluntarily provide to us in an email or by sharing your comments through our website or on our social media, or appearing on a registration form for an activity, the use of a service or a donation campaign.)

    We will collect your personal information using several tools: forms, mobile applications, social networks and in-person contacts.

  • Personal information you provide to us

    When you use our services, sign up for or take part in an activity or event, or interact with Altia Capital by email, social media, phone or in person, we store the personal information you provide to us, such as your name, email address, postal address, phone number or other necessary information. We also keep a record of your purchases and of your communications with us.

    When you interact with our website or our social media, we may automatically collect technical data about your equipment, your actions and your browsing patterns. We collect this personal data using cookies and other similar technologies. We use a consent platform on our website that complies with Canadian consent standards.

    We occasionally receive information about you from third parties, as set out below:

    The servers hosting data for these providers may be located outside Quebec or outside Canada.

    Altia Capital collects personal information by honest and lawful means and limits collection to the personal information required for the following purposes:

    • Compiling data related to our services, activities and impact in order to improve our services, prepare funding and grant applications, produce accountability reports, present information through various communication tools, or share it with various studies, polls or surveys;
    • Communicating with you periodically in writing, by voice or electronically in order to keep you informed of news about Altia Capital or any information that may be of interest to you;
    • Processing your invoices and preparing your official receipts, in accordance with CRA requirements applicable to the processing of medical receipts;
    • Establishing and maintaining our relationship with you, understanding your needs and adapting our approach to better serve you;
    • Using data analytics to improve our website, our social media, our marketing and our communications with you;
    • Carrying out a staffing process;
    • Complying with regulatory and legal requirements.

     

  • Data retention

    We keep your personal information for as long as necessary to fulfill the purposes for which it was collected and to meet our legal obligations.

    To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure of your personal data, the purposes for which we process your personal data and the possibility of achieving those purposes through other means, as well as applicable legal requirements.

    Your personal information will be kept for a minimum period of 5 years following the last activity, that is, the last purchase or service provided by our company, as required by our legal obligations.

    We have put in place appropriate safeguards (both in our procedures and in the technology we use) to keep your personal information as secure as possible.

    We will ensure that all third parties we engage to process your personal information do the same and that they process your personal information only on our instructions. Third parties will also be subject to a duty of confidentiality. Altia Capital does not trade, rent or sell personal information to third parties for commercial purposes.

    Altia Capital staff are authorized to access this personal information only when they need it and for the purposes for which it was collected. All employees must sign a charter confirming that maintaining confidentiality is a prerequisite for keeping their employment status with Altia Capital. Employees are aware of the importance of protecting the confidentiality of personal information, and particular care is taken when disposing of and destroying it to prevent any unauthorized party from accessing it.

  • Privacy incident

    Altia Capital is committed to taking the following actions when a privacy incident occurs:

    • Recording the incident in the register of personal information incidents in order to keep an accurate record of what happened;
    • Notifying the CAI (Commission d’accès à l’information) in the event of an incident involving personal information;
    • Communicating information about the incident to the people concerned within a reasonable timeframe, based on the risk and the sensitivity of the personal information involved;
    • Continuously reviewing and improving the safeguards in place to keep your personal information as secure as possible.
  • Legal rights

    Altia Capital offers you the opportunity to request access to your personal information, to request correction of your personal information and to request erasure of your personal information (right to be forgotten). Please note that we may not always be able to grant your erasure request if there are specific legal reasons, which will be provided to you following your request. To exercise any of the rights listed above, please use the contact details provided at the end of this policy.

    Altia Capital offers you the opportunity to limit or cancel the communications you receive from Altia Capital. To change or withdraw your consent, please use the contact details provided at the end of this policy.

    Requests for access to personal information are processed within 30 business days of receipt of the formal request. There is no charge for these requests.

    From time to time, we may use the personal information collected for emerging or additional purposes and, where applicable, we will amend this privacy policy to include these emerging or additional purposes and will obtain your consent through your continued use of our services.
